The initial deposit and payment processing fee are non-refundable and non-transferable. These two payments secure your spot for the retreat.
Your credit card will be automatically charged on the dates communicated in your registration confirmation letter, unless you notify us, the retreat leaders, of your cancellation. Your credit card will not be charged for the remaining balance.
Flight costs are independent of the tuition rate. You will want to book your flights for Rome Fiumicino Airport (FCO) unless you have plans to visit other parts of Italy before or after the retreat. Scott's Cheap Flights and Google Flights are excellent resources for finding the right mix of inexpensive and suitable tickets for your needs. Before booking tickets, please be sure you have received your official confirmation note that the retreat has met its minimums and will proceed.
There will be one group airport shuttle each way based on our flight window guidelines, and those who choose alternative flight windows or experience delays will incur their own transport costs to the retreat center. Be sure your flights align with the provided flight windows if you wish to use the group shuttle. The drive time to the center is just over an hour.
We cannot emphasize enough the importance of travel insurance. As we all know, especially as travelers, “life happens.” Whether it’s family, work, mother nature, the pandemic or a change of heart, it is important to be prepared in case you need to unexpectedly change your travel plans. Often for less than $150, you can purchase a travel insurance policy and be protected in the event that you need to make a change or need to be covered financially prior to or during your trip. Some policies cover COVID-related needs and others offer "cancel for any reason" but do cost a bit more for the flexibility they provide.
The following Cancellation Policy allows us, the retreat leaders, to comply with our contracts with vendors and in-country travel partners and covers the time and resources spent in preparing for and arranging this retreat.
Initial $400 deposit and the $40 payment processing fee are non-refundable and non-transferable.
50% of payments are refundable up to 90 days before the retreat, excluding the initial $400 deposit and the $40 payment processing fee.
89 days prior to the retreat, tuition is non-refundable and non-transferable.
Full tuition is refunded if the trip is canceled due to low enrollment. The $40 payment processing fee is not refundable.
We, the retreat leaders, are not responsible for any loss incurred due to currency conversion rates.
If you wish to cancel your spot on the retreat, you must submit your cancellation by email to firstname.lastname@example.org .
Registration & Occupancy Type
Single Rooms - one person in an indoor heated room, with ensuite toilet & sink (some with ensuite shower)
Shared Rooms - up to three people per indoor heated room (no third person in a couple's room), most of which have toilet & shower ensuite.
Glamping - These spaces do not suit everyone – they are best for those who like ‘comfortable camping’. The toilet is about 60m away and there are 2 outdoor warm showers to share with others.
Bell tents (2) - large circular outdoor tents made of heavy canvas with a supporting pole in the middle. They are comfortable, clean and very nicely designed using natural hues and white with some decorative elements. They measure 4 m in diameter and 2.5 m high at their highest point. The entrance is 1.53 m high. The tents are for single accommodation, and are also suitable for couples who can sleep together comfortably in a small double bed. Furnishings include a 1.40 m double bed (on a low frame with a good mattress), low tables, baskets and a small hanging frame for clothes. We provide bedding, a mosquito net and, when needed, plenty of blankets. There is ample space for a suitcase opened out on the floor, with plastic flooring and a large rug. There are also screen windows which allow for air circulation. The tents can become hot during the day due to the sun, and at the beginning and end of the season it is sometimes cold at night. There is simple solar lighting, and there is no electricity inside the tent. We would recommend that you bring a strong flashlight or headlamp for reading in bed.
Camper/Caravan (1) - The camper space is rectangular in shape, measuring 4.2 m long x 1.9 m in width. It is a lovely compact space designed with natural materials and wooden floorboards, and is comfortably furnished with a small double bed and tables. It is nicely ventilated with windows and light curtains on all sides, although it can also become hot during the day in the sun. Electricity allows for lighting or a fan.
We will do our best to honor your registration choice. If we cannot fulfill the occupancy type that you selected due to enrollment pairings and/or minimums, we will notify you 90 days prior to the retreat. You will be required to either cancel your registration, at which time our Cancellation Policy will apply, or upgrade your registration to another occupancy type (for example, from shared occupancy to a single occupancy).
If you elect to upgrade your registration, you will be charged an Upgrade Fee. The Upgrade Fee is 50% of the difference between your original registration rate and the upgraded registration rate. If, after you have paid the Upgrade Fee, we determine that it is able to honor your original occupancy request, we will refund you the Upgrade Fee.
Single accommodations include an indoor private room. Shared accommodations are up to three people of the same gender per room. If you request a shared room but do not specify a roommate, we will place you with a same-gender registrant(s). Friends and Couples may room together upon request. It is our policy not to put a 3rd person in a room with couples.
